Administrative Assistant

Job summary
To support Stonyfield’s Sales, Marketing and Communications departments in an efficient and organized administrative capacity.
Essential Duties and Responsibilities:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily:
- DAILY: Responsible for daily administrative functions of each department as directed
- PHONE: Answer and direct incoming calls when asked.
- SCHEDULING: Schedule corporate meetings and assist in the preparation and logistics of these meetings, including travel and accommodations if necessary.
- PRESENTATIONS: Create and edit internal and external presentations. Assure professional appearance, consistent format, correct content and impactful animation as required.
- REPORTS and MAILINGS: Coordinate the development of marketing, sales and PR support materials such as the Sales and Marketing Guide, Holiday mailings, consumer and partner communications, publication summaries, etc.
- EXPENSE AND MILEAGE REPORTS: Process expense reports in a timely fashion for executive team members.
- RESEARCH: Compile databases, conduct surveys and other research projects.
- Perform other duties as assigned.
Environmental Responsibilities
- Support environmental programs established within the organization to include recycle all office wastes according to program guidelines, initiate power conservation techniques by turning off lights and Computers when not in use.
- Proactively look for ways to reduce negative impacts on the environment
Safety Responsibilities
- Proactively work in a safe manner in the context of performing the functions of your position
Qualifications
- High School diploma and 3 years administrative experience.
- Good verbal and written communication skills.
- Excellent organizational skills.
- Expertise with Microsoft Office Suite – especially PowerPoint and Excel.
- Expertise with Microsoft Outlook or other e-mail/calendar application.
- Resourcefulness in use of web and other tools to compile databases, surveys and other projects; able to conduct phone research as necessary.
- Strong computer and technology skills.
- Self-starting, and efficient team player.
- Professional, flexible, and committed work ethic.
- Strong interpersonal skills and problem-solving talents.
- Need good listening skills and a commitment to detail and precision.
- Must be able to work independently.
- Ability to work to strict deadlines and to work calmly under pressure.
- Desire to produce an excellent product in a cooperative atmosphere.
- Anticipate some limited travel, weekend and evening work.
- Ability to prioritize and meet deadlines within specified time constraints.
- Ability to operate in a team environment.
- Ability to adapt in a changing work environment.
Physical Requirements
- Ability to safely lift 30 lbs.
- Ability to bend and reach files and cabinets where records are stored.
- Office environment repetitive motion through computer use is required.
- Valid drivers license in order to travel to off-site locations and for errands/pick-ups etc.
